Job Description

My client is a national firm of chartered surveyors and property consultants with a network of UK offices. They have one of the highest partner-client ratios for the property sector. They are company that pride themselves on strong relationships with their clients that can set the well ahead of their competitors 

They have a growing team who support one another to ensure customer delivery. You will be working in a team of 9 to provide a full range of support. The team are proactive and organised but there is room to really make this role your own!

Main Responsibilities

  • Administrative support to the Building Consultancy team
  • Entering new instructions, clients and contacts onto the firm’s databases
  • Maintaining accurate up-to-date record of departmental billing
  • Preparing and generating invoices and billing guides on the invoicing system
  • Tracking issued invoices and ensuring prompt payment
  • Liaising directly with clients on admin issues
  • Drafting correspondence
  • Copy typing and digital dictation
  • Taking and dealing with incoming telephone calls
  • Dealing with incoming and outgoing mail
  • Filing, photocopying, binding
  • Undertaking internet based research into property market related data
  • General office duties to ensure the smooth running of the department
  • Organising diaries for the team (via Outlook), making meeting and travel arrangements, organising refreshments at meetings, as necessary
  • Working in conjunction with central service departments on a day-to-day basis, including: HR, Facilities, Marketing, ICT

Key attributes and qualifications

  • Excellent IT skills, especially Microsoft Word, PowerPoint and Excel.
  • Fast and accurate typing
  • Good numeracy skills and confidence working with data
  • Experience of working with databases
  • Accurate and with an eye for detail
  • Able to use initiative to resolve problems
  • Experience in similar role
  • Well organised; capable of getting things done working to tight deadlines, using initiative and common sense
  • Flexible, self-motivated with a real desire to deliver excellent customer service
  • High-level administrative and organisational skills to prioritise and ensure work is processed and commitments are met to agreed deadlines
